Adding a New Accommodation Product

There are five basic steps when adding a new product: Basic, Details, Images, Voucher/Sales Info and Fare Prices

STEP 1: Creating a New Tour Product

1.1 Go to ‘My Products’ > ‘Add New Product’

1.2 This is where you add the Product Name - We recommend the following name: 'Your Hotel/Hostel name - Accommodation'

1.3 This is where a thumbnail is loaded. This is the default picture the agent will see; Please do not load up your logo but use a high-quality image showcasing your tour.

1.4 Enter Tour Code - Agents can search based on this ode as well. This is your internal tour code

1.5 Choose the country of travel for your product, if the product goes through more than one country, put in the country of origin.

1.6 Choose the city/town of departure

1.7 Enter the address for your product of departure or company address

1.8 Click on the arrow to choose a ‘Product Class’

1.9 Click Create Product

STEP 2: Filling information out for the product details

2.0 Follow steps 2.1- 2.5

2.1 Intro - The teaser will be the first thing the agent reads, make it quick and sharp. More detail can be added in the description and itinerary.

2.2 Departures/ pickups - Select your departure days. If your tour departs every day, select all days and then select the frequency. Enter in any extra departure/ pick up information

2.3 Itinerary - NOT required for accommodation providers

2.4 Description - Extension of your Intro - use high impact language. Also, fill in what customer needs to bring and what's included.

2.5 Extras - Enter any extra costs such as key deposits etc.

STEP 3: Adding Images

3.1 Click on the blue ‘Add Images’ button, which is located under images

3.2 This will open a new window, click ‘Choose File’ if no images have been previously uploaded. Click ‘Refresh Images’

3.3 Click the box to choose an image, choose 5-10 images **JPG files only, 4MB maximum size

STEP 4: Voucher/ Sales Info

4.1 Enter any information you wish to have printed on the customer voucher.

4.2 Choose your contact information to be displayed on the voucher

4.3 Sales Info - Sales information is the information relative to the AGENT. Include any specific information the agent should be aware of at the time of booking.

4.4 Additional Information - Add in any important information and/ or opening hours etc.

STEP 5: Adding new fare

5.1 Go to ‘Step 5: Fare Prices’

5.2 Click ‘Add’, this will bring up a new box where you add travel dates and pricing.

  • Create new fare type (toggle yes or no) OR use the existing one
  • RRP - Price of your tour
  • Margin - % you offer to Website Travel
  • Net - RRP minus Margin = NET - this is the amount you will be paid
  • If you enter the NET your margin is automatically calculated and if you enter your margin the NET is calculated automatically
  • Travel From & Travel Until - The date range the customer can travel at this price
  • Passenger number - Amount of Passengers that can travel on the associated price loaded - i.e Family - 4 / Adult - 1.
  • Fare Restriction - Stipulates the number of times the agent has to add the fare to the cart to be able to process the order. This comes in handy if you load a private room, but the price is loaded as per person.
  • Duration Day & Night - If the price is for 1 night, set 1/0
  • Active On & Active Until - The date range the fare is visible in the agent system

5.3 After changes have been made, click ‘Update’ which is located at the bottom right of the box 

5.4 Add as many fares under one product as you need - Just repeat step 5.2. This means you may have 6 different room types loaded as fares under one product. Do not load each room type as a product as agents may find it hard to sell your products

5.5 If there are multiple prices and dates for the same fare, click ‘Add Next Season’ > ‘Save Next Season’. This will duplicate the prices and lead on from the previous dates and will create a new row and the top of the box.

STEP 6: Submit for Approval

6.1 After all changes have been made, click ‘Submit for Approval’ which is the green button located in the top right corner

**Important Notes -Remember to always set the ‘Active From’ dates as tomorrows date, otherwise the agent will not be able to see the fare until that date -‘Active On’ / ‘Active Until’ are the dates that the fare will be visible to the agent
