New Tour Product - New Fields

How to add a new tour product:

Step 1: Basic

  • 1.1  Product Name: Name your product – Recommend that you only name your tour and do not mention your Supplier name or any product codes (there are different areas for this!).
  • 1.2  Add Thumbnail: Select a nice image of your tour. Please do not use logo's as it does not display nicely through the Agent API or in TravelDesk.

1.3 Operating Partner : If your 'Supplier Company Name' is different from your 'Supplier Trading name', please enter this information in here so agents can search for your products by entering your Trading Name. 

1.4 Tour Code : Your internal tour code - This is also a searchable field for the agents.

1.5 Select the Country of Travel: Select country from the drop down list.

      Timezone: Select your Timezone from the drop down list.

1.6 Categorize your product by Location: Type in your city and select which below option is applicable to your tour:

  •       This product has no end location.
  •       This product is a tour which starts and ends in the same city/town, but also visits a secondary location.
  •       This product is a tour which starts and ends in different cities or towns.

1.7 Please enter your products location or departure address for location searches.

1.8 Categorize your product by Product Class

  •       Product Class: Select from drop down list
  •       Select Activity 1: Select from drop down list
  •       Enter minimum Age Recommendation: Minimum Age Recommended for this Tour
  •       Enter maximum Age Recommendation: Maximum Age Recommended for this Tour
  •       Enter Age Restriction: i.e No Children Under the age of 10
  •       Enter Fitness Requirement: i.e Normal Fitness Required or Must be able to walk 6km in high temperature
  •       Enter minimum Group Size: Minimum number of customers needed for tour to depart
  •       Enter maximum Group Size: Max number of customers on the tour

Step 2: Details

2.1 Add your Intro: 60 words maximum for this area and it will be the 'grab line' and the 'first impression' of the product. 

2.2 Departures/ Pickups

2.2a Departure Day: Select the day(s) your tour departs

2.2b Departure frequency: Select between Weekly, Fortnightly and Monthly

2.2c Special Circumstances: Times during the year your tour does not depart i.e Does not Depart on Christmas Day.

2.3 Itinerary

Title: Name the day – can be from and to the tour goes that day – i.e Alice Springs to Ayers Rock.

Description: Provide the Itinerary for that day and select which meals are included.

Click on the plus sign to add more days.

2.4 Description

2.4a Provide a Description about the product: Include a brief description of this product, let agents know what it is! Sell it!

2.4b What’s Included: Add in what the tour includes -  Click on the plus sign to add more in.

2.4c What to bring: List any items the passenger should bring along i.e sunscreen, hat, swimmers. 

2.5 Extras: Please advise of any extra cost associated with the tour, (Most customers don't like to be surprised with extra fees!), i.e fees payable upon arrival: $20 Reef Levy payable upon checkin


Step 3: Images and Videos

Add in any Images and Videos – please note Videos must be first added into your Gallery. Gallery is listed under ‘My Products > ‘Gallery’.

Step 4: Voucher/Sales Info

4.1 Voucher Info: Enter any voucher info you wish to be printed out on the voucher given to the customer

4.2 Supplier Info: Select which of your details you would always like displayed on vouchers

4.3 Sales Info: Enter any information you think is important for the agent to know, but necessary for the customer to know.

4.4 Additional Information:

4.4a Important Information: List info that BOTH agent and customer should be aware of at the time of booking

4.4b Dietary Requirement: Add any dietary requirements you cater for.

4.4c Luggage Limit: Enter if there is any luggage limit i.e Small Soft Bag Only.


Step 5: Fare Prices

  •       Click ‘Add’, this will bring up a new box where travel dates, and pricing will be entered.
  •       Make sure to fill out the duration i.e 2 days 2 nights
  •       5.3 After changes have been made, click ‘Update’ which is located at the bottom right of the box
  •       5.4 If there are multiple prices and dates for the same fare, click ‘Add Next Season’ > ‘Save Next Season’ (see 'Adding Next Seasons Fares')

FINAL STEP: SUBMIT FOR APPROVAL

  • Remember to always set the ‘Active From’ dates as tomorrows date, otherwise the agent will not be able to see the fare until that date
  • ‘Active On’ / ‘Active Until’ are the dates that the fare will be visible to the agent
